Privacy Policy
Effective November 1, 2026
VisitAhead provides appointment-organization tools. This policy explains information handled through our website, downloads and support. Business support and privacy requests: sales@visitahead.com (VisitAhead Customer Support and Privacy Contact).
Your completed worksheets
You can download, print and complete VisitAhead PDFs without sending your worksheet answers to us. The PDFs are not connected to a VisitAhead health-record account or worksheet-upload service. We do not receive what you type into a downloaded PDF simply because you fill it in.
You control where you save your files and who sees them. Your device, PDF app, email provider or personal cloud backup may store copies under their own settings. Protect your files and share them only with people you choose.
Information handled through the website
Support and feedback: If you use our contact form or email us, we receive the information you provide, such as your name, email address and message. We use it to answer your request, resolve download problems and improve our tools. Please do not send medical records, completed worksheets, health-card numbers or detailed medical information. Our contact form and email are not a clinical communication service.
Website visits: Our host, Squarespace, processes technical information such as IP address, browser and device details, pages visited, referring pages and interactions. This supports website delivery, security and, where enabled, website analytics.
Downloads and orders: A direct free-PDF link does not require a contact form or checkout. The hosting platform may still record the download request. If paid checkout is opened, information needed to fulfil an order may include your name, email, billing details, product, payment status and transaction record. Payment providers handle payment credentials under their own policies. Paid checkout is currently closed.
Cookies and your choices
Necessary cookies help Squarespace operate and secure this website. Optional analytics and performance cookies are restricted until you accept them through our cookie banner. You can choose Accept all, Decline all or Manage cookies. Use the Cookie Preferences control to change your choice later. Our Squarespace visitor Activity Log is switched off.
Declining optional cookies does not prevent you from viewing our pages or downloading the free pack. Technical requests and necessary security data may still be processed. Your browser can also block cookies, but blocking necessary cookies may affect site functions. External websites have their own cookie practices.

Service providers and sharing
Website hosting, contact-form storage, email and any payment or delivery services involve service providers. Information may be processed or stored outside Canada and may be subject to laws in those locations. We use information to operate VisitAhead, respond to you, fulfil applicable orders, protect the service and meet legal obligations. We do not sell your personal information or use worksheet answers for advertising.
We may disclose information when required by law or when reasonably necessary to address fraud, security incidents or legal claims. Links to social platforms and other websites take you to services with their own privacy policies.
Retention and protection
We use the following retention schedule for information under VisitAhead’s control:
Support messages and identifiable feedback: delete or anonymize within 12 months after the request is resolved or the last relevant contact.
Privacy requests and complaint records: retain for 24 months after closure to document our response, unless a longer period is required by law.
Order, payment, refund and tax records: retain required records for at least six years after the end of the last tax year they relate to, or longer where legally required. We keep only information needed for those purposes.
Unsolicited medical information: do not use it for marketing or product research. Delete it from our active support records as soon as reasonably possible and normally within 30 days of identifying it, unless required for a legal obligation.
Completed worksheets: we do not receive or retain them through a worksheet-upload service. You control retention on your own device or paper copies.
We review active support and contact records at least quarterly and remove records that have reached their retention limit. Relevant records may be kept longer for an unresolved dispute, fraud investigation or legal requirement, with access limited to that purpose. Provider backups, security logs and independently controlled data follow the provider’s retention arrangements; deleting an active record may not immediately remove backup copies.
Access is limited to people and service providers who need it for the stated purpose. We use reasonable safeguards, but no website, email service or device can guarantee absolute security. Email our Privacy Contact if you want to ask about an earlier deletion.
Access, correction and concerns
Email our Privacy Contact to ask what personal information we hold about you, request access or correction, ask about deletion or retention, withdraw consent where applicable, or raise a concern. We may need proportionate identity verification. Legal requirements may limit deletion or disclosure. Withdrawal may prevent us from completing the related service.
Please describe your request without including medical information. If we cannot resolve your concern, you may contact the Office of the Privacy Commissioner of Canada.
Updates
We will update this page when our practices change and revise the date above. Material new uses of personal information will be explained, with consent requested where required.
